OFFICE MANAGER

Project Background:  The overall objective of the project is to enhance the capacities of Directorate for Finance and Contracting of the EU Assistance Funds (CFCU) Montenegro for efficient management and implementation of EU funds. The purposes of this contract are to further improve the administrative capacities of CFCU in all the activities relevant for efficient and effective processes of management of EU assistance funds to Montenegro and to support the contracting and implementation of projects financed under programmes for which CFCU has been recognised as contracting authority/implementing agency and contribute to the achievement of its objectives.

Context of work:  The assignment will contribute to the achievement of planned results of the whole project. The position of Office Manager is established for administrative support to the project team in terms of general and clerical support. Office Manager is directly responsible to Team leader (located in Podgorica) and Project Director (located in Serbia), who monitor and direct his/her work.

Specific tasks: Day-to day office management and general correspondence; To assist the team leader with overall coordination and management of the project and with liaison with beneficiary institutions; maintain project administrative files, financial documents and official records; assist the Project management unit in organization of trainings, seminars, workshops, steering committee meetings, and other project events; support project experts in the execution of their responsibilities and tasks, including logistical support and support for the preparation of the documents needed to report their missions; organise meetings in cooperation with beneficiary partners and other project stakeholders, to prepare meeting agendas and to take minutes and to provide general interpretation during meetings where needed; assist the team leader and the project management unit in drafting regular project reports; support the project’s compliance with EU requirement of translation and interpreting between English and Montenegrin (or vice-versa) as required.

Expected deliverables: proper functioning of the office; proper file handling and archiving documents, both in written and electronic format; proper financial administration support of the project; proper organizing different project events; providing all necessary information to project team and project director in both English and Montenegrin language.

Location/Timing/Durations of Assignment: Based in Podgorica in the project office. Duration 8 months with a start month of January 2021.
